Kutztown auction changes you need to know

While the Saturday noontime auction has been a sight to see, the DVHRC has had to make a few changes and we hope all of you see this beforehand and help us out. Below is a copy of a word .doc that we will be passing out for those who do not see this. We hope you understand our massive success and our need to tailor it in a bit as we try to be fair to our vendors and auction participants.

See you there,
Dave A
VP, DVHRC

Some changes to our Kutztown auction so we can make our show even better!

The Delaware Valley Historic Radio Club and our twice-yearly meet at Kutztown has become the event to be at thanks to all of you. Your support and contributions have made us the destination show beyond our wildest dreams. But our success has created an auction situation that we need to address.

Our board of directors has looked at this thoughtfully over the summer and found that we are not serving our vendors properly with our current Saturday noon auction and we are not serving our auction sellers properly with our current free-for-all auction, so we have made some policy changes to make us even better. We wish to continue to be the show for the the vendor, the collector and future collector.

After many meetings, we will start our new auction changes with the September event in 2009 and fine-tune it as we go forward. We may stumble the first time, but we will be open to future changes. This meet and auction is for you!

The problems as we see them.

We found three very simple problems in our success. The auction was too early at noon and pulled items and buyers from the vendor’s tables well before our good show should end. The second problem was the lack of buyers (and money) as the auction went on. This is not fair to auction sellers. The third was the reserve bid items that overwhelmed us with not much hope of buyers.

The new auction for September!

To give our vendors more time at their table to sell their treasures, the auction will move from the club table to the indoor portion of the Kutztown facility where the Estes auctions are held. This also keeps the DVHRC club table open for the items we sell and you need.

The new start time is 1pm at the indoor facility. The new seller/bidder card price is $3 so we can cover the cost of the indoor site. Delivery time will be after 10am to be fair to our vendors.

We will have an auction check-in table near the food stand to sort the items that could be going to the auction. The DVHRC will have staff on hand to make the call on consigning to the auction. This is the big change as we are trying to upgrade the auction items and we will determine the items for what we think will get a $5 bid. This will be a final DVHRC decision.

The other major change to the auction will be the reserve price items. We will limit the reserve items to five (5) from any seller regardless of items entered. Commissions and payments will remain the same. Sellers to be paid by check later. Buyers will pay Saturday in the auction hall.

Items that do not sell and the seller is not present to take away will become the property of the DVHRC to dispose of as it sees fit.

Alongside of the seller check-in area will be our Buy-It-Now area that has become so popular. This area will be for items that do not make it in to the auction and will be the new home of donations to the DVHRC as you have been so kind in the past. We do depend on this part of the event to make our profit. We will have staff on-hand to make the quick sales for the interested buyers. Your decision for donations will still be up to you and we respect your decisions on your items.

We will have new auction item listing sheets and sellers cards at the auction check-in area that must be filled out for submitting items at the time of entry. This will be our contract for all rules above. Please do not bring auction items to the club table. Buyer’s cards will be available at both areas.

We do know that these changes create a void for the $2 sellers who wish a profit and do not wish to donate and we hope you will help us by pricing your items at your table to send them to a new home. You can create your own auction!

With regards and thanks from the DVHRC!
